Key ResponsibilitiesVendor Sourcing & Supplier Management

  • Research, identify, and evaluate potential vendors and suppliers.
  • Develop and implement effective procurement and sourcing strategies.
  • Build and maintain relationships with reliable and cost-effective suppliers.
  • Evaluate supplier quotations, proposals, and commercial terms.
  • Prepare vendor comparison reports and obtain necessary approvals from Finance and Accounts before purchases are finalized.
  • Negotiate pricing, contracts, payment terms, and delivery schedules to achieve the best value for the company.
  • Coordinate with engineering, project, and operations teams to understand technical specifications and procurement requirements.
  • Monitor supplier performance and maintain an approved vendor database.

Procurement Operations

  • Manage day-to-day procurement activities and purchasing processes.
  • Prepare and issue purchase orders in accordance with company procedures.
  • Track purchase orders and ensure timely delivery of materials, equipment, and services.
  • Monitor inventory levels and initiate procurement requests as required.
  • Ensure purchased materials meet project specifications, quality standards, and approved requirements.
  • Coordinate with warehouse and site teams regarding material receipt, storage, and handling.
  • Resolve procurement-related issues involving suppliers, deliveries, and material shortages.

Documentation & Reporting

  • Maintain accurate procurement records, including vendor details, purchase orders, quotations, pricing, and contracts.
  • Update procurement databases with purchase information, delivery schedules, and invoice details.
  • Ensure timely submission of supplier documentation to Finance and Accounts for processing.
  • Prepare procurement reports, cost analyses, savings reports, and budget tracking summaries.
  • Monitor procurement KPIs and identify opportunities to improve efficiency and reduce costs.
  • Prepare monthly procurement progress reports for assigned projects and management review.
  • Maintain organized records of all procurement-related correspondence and documentation.

Requirements

  • Minimum 4 years of proven experience in procurement, purchasing, or supply chain management, preferably within the landscaping, construction, or engineering industry.
  • Strong negotiation, supplier management, and commercial evaluation skills.
  • Good understanding of budgeting, cost control, and procurement best practices.
  • Proficiency in Microsoft Office applications, particularly MS Excel.
  • Experience working with procurement software and ERP systems is an advantage.
  • Strong analytical, organizational, and documentation skills.
  • Excellent attention to detail and ability to work effectively under tight deadlines.
  • Strong communication and coordination skills with internal teams and external suppliers.
  • Bachelor’s Degree in Supply Chain Management, Business Administration, Engineering, or a related field.
  • UAE experience is preferred.
  • Immediate joiners will be given preference.
