Job Summary
The Logistics & Warehouse Coordinator is responsible for planning, coordinating, and monitoring all logistics, warehouse, inventory, and quality control activities to ensure the efficient movement, storage, and delivery of goods. The role manages inbound and outbound shipments, inventory accuracy, warehouse operations, transportation, documentation, supplier coordination, and quality inspections while ensuring compliance with company standards, UAE regulations, and health & safety requirements. The coordinator works closely with Procurement, Sales, Projects, Finance, and suppliers to maintain smooth day-to-day operations and achieve IF HUB’s operational excellence.
Key Duties & Responsibilities
A. Logistics & Transportation Management
- Coordinate and oversee all inbound and outbound shipments to ensure timely receipt and dispatch of goods.
- Plan, schedule, and monitor local and international deliveries.
- Liaise with freight forwarders, shipping agents, customs brokers, transport companies, and courier services.
- Arrange transportation based on project timelines, customer delivery schedules, and operational priorities.
- Track shipments from suppliers until final delivery to warehouse or customer.
- Resolve shipment delays, transportation issues, damages, missing items, and delivery discrepancies.
- Optimize transportation routes and logistics costs while maintaining delivery performance.
- Ensure all deliveries meet agreed service levels and deadlines.
- Coordinate urgent deliveries and special transportation requirements when necessary.
B. Shipping Documentation & Compliance
- Prepare, verify, and maintain all shipping documentation including:
- Delivery Orders
- Packing Lists
- Commercial Invoices
- Bills of Lading (BOL)
- Airway Bills (AWB)
- Insurance Certificates
- Import & Export Documents
- Ensure shipping documentation complies with UAE regulations and international trade requirements.
- Maintain accurate logistics records and filing systems.
- Coordinate with Finance and Procurement regarding shipping costs and documentation.
- Ensure compliance with customs requirements and transportation regulations.
C. Warehouse Operations
- Coordinate daily warehouse operations including:
- Receiving
- Inspection
- Storage
- Picking
- Packing
- Dispatching
- Ensure efficient warehouse layout, organization, and space utilization.
- Monitor warehouse cleanliness and housekeeping standards.
- Coordinate loading and unloading activities.
- Ensure materials are stored safely and correctly.
- Maintain FIFO (First In First Out) or FEFO practices where applicable.
- Coordinate warehouse manpower according to operational requirements.
